Books with Full LC COPY
(Yellow Flags)
Procedure
for
DLC (Library of Congress) and
pcc (Program for Cooperative Cataloging)
DLC code is found in the 040 field
pcc is found in 042 field
Select the Cataloging wizard on the tool bar. From the menu
in the left column, click on Titles and under that Modify Title .
A screen will open. (The index line should be set to Item ID (Barcode). If it
is not, click on the arrow and change the setting to Item ID. Scan the barcode
of the book to retrieve the bibliographic record. Scroll down to the 040 field,
"Cataloging source" to check for DLC/DLC in the 040 or pcc in the
042.
Editing Bibliographic tab
- Verify that information in the MARC fields match the
book (fields in the 100, 200, 300, 400, 600 and 700's). Sometimes the
title or subtitle is altered between the time a CIP record is created and
when the book goes to print, creating a discrepancy in the bibliographic information.
The 245 field should match the information on the title page of the book exactly.
If the collation (300 field) is blank, fill in the missing information following
this format:
vii, 325 p. :|bill. ;|c22 cm.
(illustrative matter in the book)
or vii,
325 p. ;|c22 cm.
(book lacks illustrative matter)
- Edit the 951 field: lc (Library of Congress) and initials
951 lc;hdl
(use for DLC and pcc)
- If the 952 contains a book fund number of 6827, add a 500
field with the following:
John Louis Kesler Circulating Library.
If the 952 contains the books fund numbers: 6820, 6822, 6824, 6825, 6826,
6827, 6830, 6833

- Unauthorized headings will be indicated by brackets following the headings
in the 100, 600, and 700 fields. Add a 954 field (place the cursor in the
field above where the 954 should numerically appear in the record. Right click
on mouse then click on Add Field After. This should open a field where
you may type in the month and year. Examples: 122006, 012007
- Check the book to see if there is a bibliography or index. If the book has
one or both of these, add a 504 line. For a bibliography type "Includes
bibliographical references (p. xx-xx). If there are bibliographical references,
but no bibliography, leave out the page numbers. If the book also has an index
type "and index or indexes", so it would read "Includes bibliographical
refeerences and indexes."
Click on Save in the tool bar at the bottom of the page to save edits
Editing Control
- Verify that the title control number is preceded by either a small a.
If it is a small i or a small o, delete the
field and that number will automatically be assigned a Sirsi title control
#.
- Click on arrow beside "date cataloged". Change NEVER to
TODAY (You may also click on it and hit page up and it will change
to today)
Click on Save in the tool bar at the bottom of the
page to save edits
Editing Call Number/Item
- Reformat the call number as follows:
BL240 .P643 1999
BS2550.6 .P62 S56 200
- Change class scheme from AUTO or ALPHANUM to LC.
- type: BOOK
home location: 1ST-FLOOR, REF-ROOM (many of the reference books will be located
in subject study areas), OVERSIZE (use for books over 28 cm.), JUDAICA (for
more options: http://divinity.library.vanderbilt.edu/staffweb/techservices/locationcode.htm)
category 1: 68-DIVINITY (other 68 options are appropriate from the list
such as 6802-THEOL)
category 2: (Usually blank for LC books).
current location: (should be IN-PROCESS. If not, then charge to 219164).
The box after permanent should have a check mark.
Click on Save in the tool bar at the bottom of the page to
save edits
Update the holdings in the OCLC database. The 994 field
indicates the method for updating:
994 92|bTJC
These
records have been updated by Yankee Book Pedlar
through
their tapeloading process.
Do not
update, but pencil a u in the back cover of the book.
