- Click on the Microsoft Access 97 Icon in the NAL window.
- A dialog box appears with the default set to "Open exisiting Database." Click on the database that is named: E:/data/Access97/KCLdata and click the "ok" button.
- Click on the "Forms" tab in the new dialog box that appears.
- Double click on the icon for Kesler form.
- A yellow input form appears. Click on the button at the bottom of the form that allows you to jump to the end of the database. A blank form should appear.
- Use All Caps to input information. Information should be recorded as follows:
- First Name
- Last Name
- Title (Rev. Dr., etc.)
- Address 1
- Address 2
- City
- State
- Zip Code
- Telephone
- Date Added
- Date changed (use this only if you are updating a record)
- Patron id (currentl the social security number. older records have a six-digit number beginning with "20".
- Group: Input either WWW for a web patron, RAL, for a patron who receives a paper copy of the Kesler Newsletter, or nothing if the patron is purged. This field is important for creating the mailing labels for the Kesler Newsletter.
- Status: active or purged
- Denomination:
- Organization: (church, institution, or social agency)
- Memo: use this field to record information about problems or previous addresses
- Name: Input the full name as it would appear on the first line of an address label (for example: Rev. Gail Davidson)
- ID1: Input the first 6 letters of the last name (used for alphabetizing the database)
- ID2: Input the first 3 letters of the first name and the middle initial if present.
- Save the new data before closing the database.
- Click on the Microsoft Access 97 Icon in the NAL window.
- A dialog box appears with the default set to "Open exisiting Database." Click on the database that is named: E:/data/Access97/KCLdata and click the "ok" button.
- Click on the "Tables" tab in the new dialog box. Open the KESPATR1 icon by double-clicking on it.
- Click on the ID1 field in the table so that the entire column is highlighted. Resort the data in alphabetical order by using the "records" menu on the top toolbar. Select "Sort" and "Sort Ascending."
- Find the first 6 letters of the last name you want to update. Tab through the patron's information to update the needed data. Make sure to record the "date changed" information and write a memo with your initials if needed.
- Save the new data before closing the database.
- Click on the Microsoft Access 97 Icon in the NAL window.
- A dialog box appears with the default set to "Open exisiting Database." Click on the database that is named: E:/data/Access97/KCLdata and click the "ok" button.
- Click on the "Tables" tab in the new dialog box. Open the "KESPATR1" icon by double-clicking on it.
- Click on the ID1 field in the table so that the entire column is highlighted. Resort the data in alphabetical order by using the "records" menu on the top toolbar. Select "Sort" and "Sort Ascending."
- Find the first 6 letters of the last name you want to update. Tab through the patron's information to the following fields:
- GROUP: Delete the information in this field.
- STATUS: Change from "active" to "purged."
- MEMO: record what group the person was a member of-- WWW or RAL. If the patron requested removal from KCL, record this information. Write the data and your initials.
- DATE CHANGED: update the needed data
- Save the new data before closing the database.
