New Schedule

As expected, there were a few errors.  I put some hours on people's individual schedules and did not put them on the big schedule.  A couple people had meeting conflicts.  However, no one required major changes.  This is really unusual.  I'm not complaining, but it's really unusual.  So speak now or forever hold your peace...unless you ask for a change by Friday, I am assuming that we now have a permanent schedule for the semester.

Believe it or Not File:  Starting next week, Sandra's regular schedule will be to leave at 3 p.m. on Mondays and Fridays!  Sandra will be out of the library completely on 9/8, 9/21, and 9/22.

Weekend Rotation Dates

I will explain more fully what I mean by the "OPEN DAY" when we get a little closer to the time.  It has to do with the way I want to handle staffing the library when we are under "extended" hours.  Essentially, I would like you to work at least part of this day, but you will not be responsible for the whole day, and you can opt out of an open day if needed.

One-Time Extra Hours

The library needs "security" people for the Jack Sasson installation to be held at Sarratt on Tuesday, September 12.  Up to 3 people can be scheduled during an hour, unless that time is already taken.  The sign up sheet will be in Circulation.

The shifts are one hour long, no limit on how many you take, from 2 p.m. to 10 p.m.

Reserves Information, Weird Stuff you can't find and More

What if I can't find a reserve item? 

  1. Check ACORN (either the staff workflows version or web version is fine) to see if the item is checked out.  If it is, report that the item is checked out to the patron and let them know what time it is due.
  2. If the item is NOT checked out, make sure there is one person covering the desk, then YOU look for the book.  Here is where you should look:
    1. Reserve shelves near where the item is supposed to be
    2. The reshelving area behind reserves
    3. Any carts with books to be shelved
    4. Around the copier area
    5. Downstairs in the 1st floor stack area
    6. Then tell Sandra -- She should check her office.  It could be an reserves location item not on reserve that she is working on in her office (see below after list) or a record error.  
  3. Depending on demand do the following:
    1. Lot's of people are asking for it -- Print a sign in Word listing the call number title and class.  Note that the item is missing, please return if you have it.
    2. One person is asking for it and its a small class -- wait to see if it comes back and leave a note about it for the next shift.  If it still hasn't come back, do step one above.

Location, Location, Location

Why do some things say location DIV-RESERV, but then when you try to check them out, the item says "Not on Reserve"?

Location is a book's home.  Some items do not really have a home in the library.  All reservepaks, article folders and binder, and instructor copies of books are like that.  They can't be 1st floor location because they don't go back downstairs at the end of the semester; they go back to the professors.  So I put their home location as DIV-RESERV when I create a record for the item,  but in order for them to be checked out on reserve, they have to have a "second" reserve record.  If the record is not created or removed, the item will say DIV-RESERV but not be recognized as a reserve item.

SHORT WHAT-TO-DO ANSWER to problem:  Give the item to Sandra or a supervisor to put on reserve.

Other stuff:

Segovia's has 2 classes with reservepaks.  Div 3345 is the more complicated class.  Article and Chapter Readings are separate, and there are 3 difference paks.  For Segovia, it is important to use the Syllabus book to figure out the readings.

Weems, B. Miller-McLemore, M. Miller-McLemore, and Flake also have reserve paks.

You won't always be able to do this, but the more our desk staff try to teach, the clearer the message to the patron that this is something they need to learn for themselves.  Trust me.  Ultimately a student is better off knowing how to do this on his/her own.  Think of it as empowering the individual, even though they don't want to be empowered at first.

Word Processing Access

I am sorry for the account delays that have kept a couple of you from utilizing the staff perk of word processing.  We should have a generic student account that you can use to log in on the collection development computers to access word processing soon.  When it is ready I will let everyone know.  If you need access in the meantime, I'm afraid that you will have to be lucky enough to catch me at a time when I can log you in with my own account.  This is not something I always have time to do.

REMEMBER: only staff workstations in the library have word processing on them.  All patrons have to go to Garland to use word processing programs.

If you are working at the Div Circ desk or the Infodesk, you are allowed to use Work and IE if there is nothing else to do.  Library work comes first though, and you are expected to stop personal activities, if some library work needs to be done.  Remember the Employment Agreement.

If you are not scheduled to work, you should not come in and use computers in the Circulation area. If you are not on the schedule, I would rather that you not hang around behind the desk or work at the desk on personal stuff.
