BILLING PROCEDURES

 

1)    Look for a "Time To Bill" notice in the morning reports

2)    Check to make sure the item is not on the shelf.

3)    Contact the patron.  Give the patron a deadline after which a bill for replacement will be generated.  Write this deadline and the patron's response on the notice.

4)    After the deadline passes, find the cost of the item.

        a)    Look in Books in Print (e-resources on the Heard Library homepage)

        b)    If the book is out of print, check www.bookfinder.com

        c)    If the book is unavailable, check ACORN for pagination.  Charge 10 cents per page plus a $10 binding fee.

5)    On the "Time To Bill" notice, write down this item-cost; the $35 cataloging fee; and the $15 billing fee.

6)    Next to the total amount to be billed, write your initials and today's date.

7)    Using the "Maintain Existing Titles" wizard, in the comment field on the item-record of each item to be billed, type the patron's name, social security number, total amount billed, your intitials, and today's date.

8)    Using the "Bill User" wizard, create bills for the billing-fee, cataloging fee, and item cost.  Make sure that the item number is correct, as the default item number used by the wizard may not be the same as the one you are billing.

9)    Using the "Display Item Holds" wizard, note any holds on the item on the "Time To Bill" notice.

10)    Remove all such holds using the "Remove Item Holds" wizard.   Send an email to the Collections Librarian for any titles that had holds removed, so replacement decisions can be made with the knowledge that patrons had been waiting for these titles.

11)    Discharge the item.

12)    Charge the item to 204635 (if the item has been overdue for a long time and has been searched previously, use 204636).

13)    Put any holds back on the item.

14)    Using the "Pay Bill" wizard, error out the overdue fine -- the billing fee supersedes the overdue fine -- unless it is a recall overdue fine.

15)    Make sure a bill prints with next morning's reports, and check the information on the bill.
