IMPORTING AUTHORITY RECORDS FROM OCLC

1. Search each authority record in the Acorn Authority File to make sure it has not already been added to Acorn.

2. Go to OCLC/Passport.
     -- change to authority file -- "cho af"   <F11>
     -- set up session -- click on Export/Transfer tab, name the file, click on OK. (also be sure "winn\series.dat" is highlighted).  click "yes" to save changes to NACO.
     -- search by either title (sca ti <f11>) or authority record number (fin an <f11>)
     -- type "xpo" <f11> to export to the file.  click "yes" to overwrite.

3. Go to Acorn.
     -- click lightening bolt (search source).

4. This takes you to the Z39.50 window.
     -- click saved files (3rd icon down on the left), click the import icon (2nd from right across top of Saved files box).
     -- this takes you to the C drive directory, double-click on Winnt., double-click on Series.dat.,  click raw. 
     -- name the file the same thing you named it in step 2 above, click OK.
     -- click on that name now appearing in the Saved files box, and click view (1st icon on left across top of box), click OK to use ZAUTH formatting
     -- click the camera icon (3rd from right) to capture the record
     -- click OK to accept defaults (match and load, match points=cn), click OK to load.

5. This takes you back to Acorn.  Click OK immediately to load the record.
     -- change never to today.
     -- put our holding symbol (VU) in several fields. |dVU in 040, |5VU in 642, 644, 645, and 646 as needed.
     -- click OK, close the window.

6.  Go back to the Z39.50 window
     -- click the forward arrow to go to the next record, click on the camera icon to capture, and repeat the process.  Close when you have finished all the records.

7.  Go to Acorn and search the series title in the public catalog. 
     -- Go to Edit or Maintain existing title.
     -- Delete |?unauthorized , and press return. Review the record record, and if the unauthorized statement does not reappear, you know you have done it correctly.
     -- If unauthorized comes back, it is probably because of diacritics in the series title.  To remedy this, copy the title from the authority record, and paste it into the bib record.
