To start, you choose the command "Create authority." When you get a
screen with a box saying "New authority ID," you say "auto" (the only
choice available when you hit the arrow). Hit GO.
Then you get another screen. You put "title" in the FORMAT box and
leave "authorized" under AUTHORIZATION LEVEL. So far, I've been
leaving SOURCE blank [I put in VU as source -- Zora]. Hit GO.
Then you get a complicated workform. Change DATE AUTHORIZED to
"today." That's all you need to do before you get to the fixed
fields. Doing the fixed fields is a bit tricky. Frankly, what I
originally did was to find a locally made series authority that had
converted over from NOTIS and copy the coding for the most part.
Remember that certain codes will vary depending on the series:
Ser typ: could be a, b, c or z, as (a=series, b=bookset)
Ser num: a for numbered, b for unnumbered
Name U, subj US, ser USE: in the case of a series-like phrase,
you'll make all of these "b"
Ref eva: this should be "a" if you have x-refs and "n" if
you don't.
You may want to use an authority I made on Sirsi--the heading is:
Joint documentary projects. Bibliographical series--to use as a basis
for your fixed fields. Change the above listed fields as necessary.
The variable fields work more or less like they did on NOTIS. Make
an 040 at the top with just "VU" in it. Then comes an 090 if your
series or set is classed together. Then 130, 4xx's, 642, 643, 644,
645, 646, 670 and, if you need local notes other than just your
initials and a date, 690. Wherever you would use the code "TNJ" on
OCLC (for example, in the 642 numbering-example field), use "VU."
This is how we traditionally did local authority records.
Put the code "i" (for input), your initials, and the date in the NOTE
field below the variable fields:
i;pw;09/24/96
As I said above, an example of a local authority I've made is for the
title: Joint documentary projects. Bibliographical series.
If anyone (Mary Charles?) notices a problem with this procedure,
please tell me. I just worked this out because I needed to make a
record and it may need some work. I haven't tried to make any local
name authority records yet.
