Books with an OCLC record and with an 040 cataloging source other then DLC or pcc


Select the Cataloging wizard on the tool bar. From the menu in the left column, click on Titles and under that Modify Title . A screen will open. (The index line should be set to Item ID (Barcode). If it is not, click on the arrow and change the setting to Item ID. Scan the barcode of the book to retrieve the bibliographic record.

Editing Bibliographic tab

1. Verify that information in the MARC fields match the book (fields in the 100, 200, 300, 400, 600 and 700's). The 245 field should match the title page of the book exactly.

2. Add a 952 field (place the cursor in the field above where the 954 should numerically appear in the record. Right click on mouse then click on Add Field After) and add your initials and the date. Example: ec04/15/2007. If there is already a 952 field, add your initials and the date at the front of the field separating subsequent information with a |b. If there is a bookplate number, follow the instructions in no. 4 of Books with LC Copy.

3. DO NOT add the 954 field at this time. It will be added when the cataloging date is changed to TODAY.

4. Click on Save in the tool bar at the bottom of the page to save edits.

Editing Control tab

1. Control should not need editing.

2. Verify that the title control number is preceded by a small a. If it is has a small o or a small I, delete the field and that number will automatically be assigned a sirsi title control # when you click on Save in the tool bar at the bottom of the page.

3. Be sure that the cataloging date is set to NEVER.

4. Click on Save in the tool bar at the bottom of the page to save edits.

Editing Call Number/Item

1. Add XX in front of the call number if it is an LC call number.

2. Change the LC to ALPHANUM if it is an LC number. Change the LC to AUTO if it is a Sirsi derived number such as XX(1811357.1).

3. Category 1 should be an option that begins with 68.

4. Category 2 - Select SERIES-SO from the dropdown menu only if it is a SSO (series standing order - these books come without a barcode attached and a white acquisitions slip).

5. The box after permanent should have a check mark.

6. Click on Save in the tool bar at the bottom of the page to save edits.

Update the Holdings in the OCLC Database

1. Open an Internet session and go to:
http://staffweb.library.vanderbilt.edu/libtech/acorn.html

2. Click on the "OCLC Holdings" in the right column

3. Click start in the pop-up window

4. Wand in the barcode (This page can be left open to add successive barcodes)

5. Pencil a u in the back cover of the book
